It’s hard to find the right solution if you never ordered translation services before. However, it is not too difficult to choose between an independent self-employed translator and an agency based on the following information.

Modern translation agencies hire freelancers to reduce operating costs and add an extra charge for intermediary services. Agencies have numerous overhead costs like higher taxes and dues, salaries for management staff, rental payment, etc. Therefore, if you choose to go with a translation agency, you should understand that these overheads will be included in the cost of services. Hence, be ready to pay more.

One good reason why you may want to choose a translation agency is that you need to translate your website into more than two or three languages. In this case, it will be easier to hire an agency to manage the entire process: find translators for each language pair, distribute the files, track progress, collect files from multiple translators, arrange quality control and final delivery.

However, if you need to translate your website into 1-3 languages, you should certainly choose independent translators. This way you can optimize your translation expenses and get more personal service from a direct contractor.

In addition, communication with the direct contractor simplifies and accelerates the ‘change and modify’ process because you don’t need to wait until your message goes through the process chain (client — project manager — translator — project manager — client).

Translators can also ask questions about the content and receive your comments faster, this way the entire translation process becomes more consistent and efficient.

First time when you need translation services price formation may seem not very clear for you as a client. Therefore, today we are going to learn how to calculate translation costs.

If you’re looking for professional translation services, before contacting a translation agency or a freelance translator, you might want to run a short online survey to find out how to calculate translation costs.

Translation service providers use different methods to calculate translation costs. The methods may vary depending on the company / contractor or even the country of location.

For instance, translation agencies in Russia and CIS countries tend to calculate translation costs using the so-called conventional translation page. This page may consist of one thousand, one thousand 6 hundred or one thousand 8 hundred characters with spaces. The most common page size is one thousand 8 hundred characters.

The European and US translation companies use per word calculation basis. In this case, standard translation page consists of ~ two hundred and fifty words (primarily for English source texts). Therefore, to calculate the cost of translation you need to find out the word count of your document.

To find out the number of words in your document (we mean MS Word document) you need to get the document statistics.

When you are typing the text, Word automatically counts the number words in your document and displays them on the status bar in the left bottom part of the document workspace.
If you don’t see the word count in the status bar, right-click the status bar, then and click Word Count.

You can also count the number of words in a selection or selections. The selections don’t need to be next to each other. The status bar displays the number of words in the selection. For example, one hundred and forty-seven / eighth hundred and forty-nine means that the selection includes one hundred and forty-seven words with the total number of words in the document being eight hundred and forty-nine.

How to include text in footnotes, endnotes, and text boxes in the word count: on the Review tab, in the Proofing group, click Word Count. In the Word Count dialog box, select the Include textboxes, footnotes, and endnotes check box.

Now that you know the number of words, let’s calculate translation cost for your document.
For instance, I offer $0.10 (ten cents) per word for my translation services. Let’s assume that you have 2,300 (two thousand three hundred) words in the document:
2,300 * $0.10 = $230 (two hundred and thirty).

Next time when you need to calculate the cost of translation you may find the word count and multiply it by translation rate of your service provider.

There are certain criteria that will help you to find the best translator:
Language Pair
Translation tasks are usually assigned to translators who are native speakers of a target language or mastered the target language on a nearly native level.

Specialization
Each field of expertise has its own specific features like stylistic neutrality or coloring, a tone of voice, terminology, etc. As a rule, professional translators prefer to work only within certain domains of expertise, polishing their skills to offer the best services possible. Therefore, to select the right translator you should consider his/her areas of specialization in combination with a number of years spent for translation of texts in a certain area.

Cost of Translation
Professional translators never work for peanuts. Beware of cheap translation!

Translator’s Profile, Portfolio, and Testimonials
If you still hesitating about how to find the right translator, another thing you may want to check before making a choice is a translator’s profile or a personal website.
When a translator takes the work seriously, his/her profile on a translation portal or a website will look correspondingly. Turn your attention to testimonials the translator receives from clients.
Feedback from clients will help you to form a general view of the translator’s work. Take a look at the translator’s portfolio to find projects related to the subject matter of your text.
The combination of these things may help you to make your final choice.

Test Translation
To check the quality of his/her work you may ask a translator to perform a small test. However, in this case, if you don’t know the target language, you will need to find another linguist who will check the quality.
Usually, test translation is about one page long (250 words). This size of a text is enough to define whether the translation is good or not.
On the other hand, test translation is not always a good method to define the quality, as proper translation, in some cases, requires more context than 250 words.
As a rule, test translation is used by translation agencies as a part of recruitment process.

Fast Response
Additional criteria to consider when looking for a translator, or a freelancer in general, is the rate of response or how fast a specialist answers to your requests.
Fast response can be an indirect indication of a translator’s commitment to the work. Professionals always try to maintain communication on a good level to satisfy the client needs.
